How to use the new Enhanced Job Card

Released in September 2024, the Enhanced Job Card is an all-new job card for your Dispatch Board. It’s flexible, with expanding fields & side-by-side browsing of your Diary, Photos or Attachments. It’s easier to see where a job is up to, and what needs to happen next. And it’s faster than ever to make and save changes.

Can you turn it off?

Yes, for a limited time it's possible to switch between the new and old job cards.

We’ve taken a big step forward with the Enhanced Job Card, and we understand this can be a lot of change. So, if you activate the Enhanced Job Card, but something about it doesn’t work for you, for a limited time it is possible to go back to the way things were. 

To deactivate it, go to Account > Features & Integrations, and turn off the 'Enhanced Job Card' add-on.

Please use the feedback form when deactivating to let us know what didn't suit you. 

 

FAQs

How do I record a payment for a job in the new job card?

To manually record a payment against a job in the Enhanced Job Card, it will need to have a job status of “Work Order” or “Completed”.

When the status is “Work Order”, in the Billing tab of the job card, click the green “Paid” line in the new totals section (bottom right corner).

When the status is “Completed”, you can use the above method, or click the workflow dropdown arrow in the top-right corner > Add Payment.

If the payment is for the purpose of a deposit, we'd recommend using the top-right workflow button to mark the Quote as ‘Accepted’, which will update the job's status to Work Order, where you can then apply the deposit payment. Alternatively, you can set up ServiceM8 Pay to handle deposits automatically. Check out Deposits with ServiceM8 Pay. 

How do I produce a Work Order PDF in the updated job card?

There is limited support for generation of Work Order PDFs in the new Enhanced Job Card introduced in September 2024 with ServiceM8 13. 

At present, the only way to generate one is, in the job actions bar along the top of the job card, click More > Print > Print Work Order, then save this as a PDF — you will also need to save this PDF to the job card, either by using the paperclip button at the top of the Diary, or simply dragging and dropping it into the Diary. 

As an alternative to sending PDF work orders, you might be interested in trying ServiceM8 Network (an add-on designed to request work from and collaborate with subcontractors, directly out of your ServiceM8 account). To learn more, check out ServiceM8 Network.  

If the above workflows don't suit you, for now it is possible to go back to the way things were by deactivating the ‘Enhanced Job Card’ — to do so, go to Account > Features & Integrations, and turn off ‘Enhanced Job Card’. If you do so, please use the feedback form when deactivating to let us know what didn’t suit you (including details of how you use Work Orders).

How do I view my line item pricing in the new job card to exclude tax?

When preparing quotes and invoices, to switch the pricing you see to exclude tax (e.g. GST or VAT), if you’re using the new Enhanced Job Card released in September 2024 with ServiceM8 13, the way to set this account-wide preference has moved to Account > Settings > Preferences > Invoicing > “Set whether item prices include [GST]”.

How do I change an invoice’s date on the new job card?

With the new Enhanced Job Card, to change an invoice’s date, go to the Billing tab of the job card, and in the top-right corner, click the drop down arrow, then “Customise Invoice” and you’ll find an option here to change the invoice date.

Are completed Checklist items automatically added to the description of Work Completed, like they did before September 2024?

No, when completing a Checklist, it does not automatically add each item to the Work Completed notes like before. If this feature is important to you, please let us know your feedback at support@servicem8.com.

How do Tasks work with the new job card?

With ServiceM8 13 and the Enhanced Job Card, “Tasks” have been merged into the new & improved “Checklists” — check out our help article on How to create and use Checklists.

When you upgrade to the Enhanced Job Card, this is how your existing Tasks are converted and merged into Checklists:

  • All Tasks which are associated/attached to a job card are converted to Checklist tasks i.e. Tasks which were created from a job card and/or attached to a job number, will convert to individual Checklist items in that job card. 
     
  • Tasks which were not associated/attached to a job card will not be converted to Checklist tasks (as there is no job card/checklist to attach them to). For a limited time, you can still find these unattached Tasks by deactivating the Enhanced Job Card. To do so, go to Account > Features & Integrations, and deactivate the ‘Enhanced Job Card’ add-on. 
     
  • Visibility of “My Tasks” — converted Tasks, and new Checklist tasks going forward, which are specifically assigned to You, will continue to show in the Task views of the Online Dashboard and iOS app i.e. in the Online Dashboard, in Home > My Tasks; In the iOS app, in More > Tasks, and in Jobs > My Tasks. 
     
  • Tasks list in Dispatch Board > Tasks — with ServiceM8 13 and the Enhanced Job Card, the Tasks list available in your Online Dashboard > Dispatch Board > Tasks will ONLY show incomplete Checklist tasks which are both 1) Assigned to a staff member; and 2) attached to an active job i.e. the job’s Status is Quote or Work Order. If you wish the list to include incomplete tasks attached to jobs of all Statuses (i.e. Quote, Work Order, Completed & Unsuccessful), go to Account > Settings > Preferences > Tasks, and enable ‘Show Tasks for Completed Jobs’. This preference only applies to the tasks listed online in Dispatch Board > Tasks (i.e. not in the ‘My Tasks’ views in the Home tab or the iOS app). 
     
  • The Tasks list in Dispatch Board > Tasks cannot display tasks which are not assigned to a staff member. 
     
  • Job templates with preset Tasks — If you created preset Tasks in certain Job Templates, these will not automatically convert to Checklist tasks once you activate the Enhanced Job Card. You will need to recreate these as Checklist tasks in your Job Templates. 

Why are “non-job”  Tasks no longer supported?

From September 2024 with the launch of ServiceM8 13, non-job tasks (i.e. Tasks which were not created in a job card or attached to a job number) were removed to streamline the focus on job-related activities and improve overall efficiency. They were not widely used and could only be created via the app. 

This change helps keep ServiceM8 simple and streamlined. If non-job tasks were important for your business, please let us know your feedback at support@servicem8.com. For a limited time, you can access non-job tasks by turning off the ‘Enhanced Job Card’ add-on in Account > Features & Integrations. 

How do I assign everyone to a Checklist task in the new job card?

With the Enhanced Job Card released with ServiceM8 13 in September 2024, it isn’t possible to assign a single Checklist item as a Task to “everyone”, in a similar way you might type @everyone in a job Note or Activity Feed post. 

However, if you leave a Checklist item unassigned, even if you set a job-related reminder such as on “Navigation to Job”, “Check In” or “Check Out” — whichever staff member navigates to the job, or checks in/out of the job, as the case may be, will get the reminder upon these events, about these checklist items requiring attention, regardless of whether they were specifically assigned the item as a Task.
