Office Agent is an AI assistant for routine office work inside ServiceM8. You can use it to review jobs, spot work that needs attention, draft customer emails, and prepare office actions for approval. Office Agent is being enabled through a staged rollout. You use it in the Online Dashboard, and access is limited to staff with the Business Owner security role. Office Agent task conversation showing pending approval actions

How Office Agent works

Office Agent works through tasks. Each task has:
  • a name
  • a schedule
  • instructions
  • tools
  • optional notification recipients and rules
When a task runs, it creates a conversation so you can see what it found, what it recommends, and any actions it wants you to approve. That conversation is shared with staff who can access Office Agent. It is not a private chat. You can let a task run on its schedule, or use the play button to start it straight away. When a task is allowed to make changes, those changes are prepared for approval before they are carried out.

What Office Agent can do

Depending on the tools you turn on, Office Agent can help you:
  • review jobs, queues, forms, and staff availability
  • summarise what needs attention
  • suggest next steps for office work
  • draft and send customer emails linked to jobs with approval
  • update queues, statuses, bookings, or allocations with approval
  • update the task itself with approval
Office Agent is for office and admin workflows inside ServiceM8. Use the ServiceM8 Phone Agent for call handling, and use Auto Routing for route optimisation.

Availability and access

  • Office Agent is available in the Online Dashboard
  • access is limited to the Business Owner security role
  • Office Agent is being enabled in stages, so some accounts may not see it yet

Good first uses

Office Agent works best when you give it one clear business outcome. Good examples include:
  • reviewing the Action Required list and summarising the next best step for each job
  • drafting quote follow-up emails for approval
  • checking staff availability before you book urgent work
  • reviewing a queue and highlighting anything that needs attention

Start narrow

Most problems come from tasks that are too broad, too vague, or have too many tools turned on. To get better results:
  • keep tasks narrow
  • start with review-only tasks where possible
  • disable tools the task does not need
  • review the first few runs closely before giving the task broader responsibility
If you are new to Office Agent, start with a task from the Task Library, confirm the output is useful, then refine it to suit your business. Next, see How to get started with Office Agent.
