How to create and send Proposals (iOS app)

The ServiceM8 Proposals Add-on lets you create elevated online quotes, called Proposals, complete with images, attachments, multiple choice sections, and optional extras. Proposals are highly useful when you want to give your clients more detail, choice, and control in the buying process. They allow you to showcase your professionalism and expertise, while helping you upsell optional extras.

Proposals can be created and sent in the Online Dashboard, and as of September 2024, the ServiceM8 iOS app.

How to create a Proposal in the app

  1. From the open Job Card, tap More on the Job Actions menu, then tap Proposals.
  1. You have the option of starting from a blank proposal, a proposal template, or a proposal that you have used for similar or recent jobs. Tap your selection to begin. Note that as you build your Proposal, it will auto-save.

TIP: Starting from a saved template lets you track your win rates over time, helping you optimize and adjust as needed.

  1. Tap the contact field if you want to choose between the Job Contact and the Billing Contact.
  2. Tap the Proposal title to edit.

Working with sections

  1. The Action bar lets you add three types of section blocks:
    • Text: This block consists of a heading (formatted in bold) and a description area (formatted as body text).
    • Material: This block consists of a heading (formatted in bold), a type (Fixed, Multiple Choice, or Optional), and a main table listing items and/or bundles.
    • Gallery: This block consists of a heading (formatted in bold) and photos, videos, or files that you have selected.

Tap any of them to add a new section to your proposal. You can add as many of each as you like.

  1. To change the order of your sections, hold down on the section to select, then drag and drop to the desired place.
    • Note that only text, material, and gallery sections can be rearranged, not the rest of the Proposal fields.

  1. To edit a Text section, tap to open, make your changes, then tap Save.
  2. To remove a Text section, tap to open, then tap Remove.

TIP: When adding a Material section, if you are setting the type as Multiple Choice or Optional, reflect that in the section title to make it clear to your client. For example, a multiple choice section of different service bundles could be titled, "Choose Your Package," while a section of optional add-ons could be titled "Optional Add-Ons."

  1. To add a new item to the Material section, tap +. You can search items or bundles, create a new item, or even scan a barcode to add an item. Adjust the description, quantity, and price as needed, then tap Save.

  1. To remove an item from the Material section, swipe left and tap Delete.
  1. To remove a Material section altogether, tap its heading to open, then tap Remove.

How to send a Proposal from the app

When you are satisfied with your Proposal, tap Send. You will have the option of sending via SMS or via Email. Upon receipt, clients will be able to follow the link and view, select options, and accept the Proposal online.

How to edit a Proposal from the app

If the client has not yet accepted the Proposal:

  1. From the Job Diary, tap the Proposal to open it. From there, you can edit as needed.
    • Note that if you have already sent the Proposal to the client, any changes made will be updated in the client's view.

If a client has already accepted the Proposal but wants to make changes:

  1. Change the Job Status to Quote.
  2. From the Job Diary, tap the Proposal to open it. Edit as needed, then resend to the client via email or SMS.
