How to schedule or allocate a job using the ServiceM8 App

There may be times when a job is created, but not immediately scheduled or allocated to a staff member. This article describes how to open the Job Booking window within a job and schedule or allocate it accordingly, whether by the earliest appropriate availability, by a client-preferred date, or within a specific completion window.

To open the Job Booking window:

  1. Go to Jobs > Unscheduled Jobs.
  2. Tap the job you would like to schedule.

The Job Booking window will open. You can use ServiceM8 smart suggestions to book the job:

  1. To the earliest available opening
  2. To a client-specified time or date
  3. To a staff member to complete within a specific booking window

Booking a job to the earliest available opening

To book a job to the earliest available opening:

  1. Under Suggestions, tap your preferred opening for an appropriate staff member.
    • The earliest available opening for a staff member will always be the first suggestion.

    • If you are not satisfied, tap another suggestion.
    • If you are satisfied, tap Book.

Booking a job to a client-specified time or date

If the client has specified a preferred time of day or date:

  1. Tap Date or Time and populate the information accordingly.
  2. Under Suggestions, tap your preferred opening for an appropriate staff member.

    • If you are not satisfied, tap another suggestion.
    • If you are satisfied, tap Book.

The staff member will receive a booking notification.

Allocating a job to a specific staff member

You can allocate a job by specifying a staff member and a booking window (for example, early evening). This option is best for jobs that don't require a specific booking time or date - for example, it could be done at any time of day within the next week, or it must be done as soon as possible.

Note you can only allocate jobs if you have the Job Allocations add-on enabled. (From your Online Dashboard, go to Settings > ServiceM8 Add-ons > Job Allocations to enable it.)

To allocate a job within the app:

  1. From the Job Booking window, tap Allocate.
  2. Tap the desired fields to specify booking information.
    • Staff Member and Booking Window must be completed to allocate a job.
    • You can also specify estimated duration, date, and expiry date (if the job is not completed by the expiry date, the allocation disappears).
  3. Tap Book.
